Refund & Cancellation Policy

Effective 25 October 2026 · NXTA

NXTA is billed monthly in arrears for the usage a workspace records. This policy explains how to cancel, when a refund is due, and what happens to a workspace whose invoice is unpaid.

1. How you are billed

One invoice is issued per company at the close of each month, covering the usage recorded during that month. It is payable within 14 days. There is no annual lock-in and no cancellation fee.

2. Cancelling

A workspace administrator may cancel at any time by writing to admin@nxta.app. Cancellation takes effect at the end of the current billing month: the month in progress is invoiced for the usage it actually recorded, and nothing is invoiced after that. The workspace becomes read-only and stays available for export for 30 days.

3. When a refund is due

Amounts already invoiced for recorded usage are not refundable, because the resource was held and the platform ran for that month. A refund is due in these cases:

  • a duplicate charge for the same invoice;
  • a charge for a period the workspace was suspended or cancelled and could not be used;
  • a metering error — usage counted that the workspace did not record — verified against the invoice's own line items; and
  • a charge made after a cancellation that had already taken effect.

Ask within 30 days of the invoice date, quoting the invoice number. We answer within 5 business days and, where a refund is agreed, issue it within 10 business days of that answer.

4. How a refund is paid

Card payments are processed by Paddle as merchant of record. Where the original payment was by card, the refund is issued through Paddle against that same transaction and returns to the card used; Paddle also issues the receipt and handles the sales tax on the transaction. Where the original payment was a bank transfer, the refund is paid back to the account it came from, and we may ask you to confirm those details in writing.

5. Failed or disputed card payments

If a card payment fails, the invoice stays open and can be paid again by card or by bank transfer. If a payment is reversed by the cardholder's bank, the invoice becomes outstanding again and the schedule below applies. Please contact us before raising a dispute — a metering question is almost always faster to resolve directly.

6. Unpaid invoices

An invoice that passes its due date moves the workspace through these steps. No data is deleted at any of them, and paying at any point restores normal service immediately.

  • a reminder before the due date;
  • the workspace is marked past due when the invoice is late;
  • after 7 further days the workspace becomes read-only — you can read and export everything, but no changes can be saved; and
  • after 21 further days the workspace is suspended and cannot be opened until the balance is paid.

7. The first year is free

A new workspace is free for its first twelve months, counted from the first sign-in. Meters are still counted and the normal monthly allowances apply, but no invoice is issued during that year. The first invoice covers the first full calendar month after the free period ends, and there is no catch-up charge for the free months. A workspace that is not used after the free year simply produces no invoice, because an invoice is only ever the usage it recorded.
